As employees of a Social Media Agency, our days are inundated with meetings — internal touch-bases, client- or vendor-facing calls, brainstorms, full-day summits or retreats… the list goes on and on. However, meetings can frequently feel directionless, repetitive, or even endless. Here are some steps you can take to get the most out of your meetings.
1. Communicate the Purpose and Process of the Meeting
It’s important to ensure that all of your participants are aware of the overall goal(s) of the meeting. At Likeable, we like to start meetings by stating, “The purpose of this meeting is to…” This simple addition ensures everyone in the meeting is on the same page and kicks the conversation off on a firm, deliberate note.
Similarly, an agenda is essential to staying on track during meetings that run on the longer side or have many moving pieces. Circulating the agenda ahead of time allows your team to prepare properly and propose additions to the outline if necessary.
2. Mix the Conversation Up
Breaking up into small groups to brainstorm or discuss important issues is an easy way to keep your participants engaged. Take advantage of this opportunity to gather feedback from the various people in the room. Try to mix up the groups to build stronger working relationships between teams and facilitate more diverse conversations.
3. Add Variety to Your Meeting
Whenever possible, get out of the office. If the environment fits, have a one-on-one at a local coffee shop or conduct your summit at an off-site location. For longer or larger meetings, serve meals in a separate area to distinguish between productive and recreational environments and mindsets.
Meetings make up a huge portion of the workweek. By following these simple guidelines, you can make sure your and your team’s time is productive and well-spent.
